By accessing or using CollabCoder ("the Service"), you agree to be bound by these Terms of Service. If you do not agree to these terms, do not use the Service. These terms apply to all users, including free and paid accounts.
CollabCoder is a collaborative qualitative coding platform that allows researchers to upload documents, apply codes and tags, and collaborate with team members on qualitative data analysis. The Service is provided by Josh Herron ("we," "us," or "our").
You must create an account to use CollabCoder. You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account. You agree to provide accurate information when registering and to keep that information current.
You must be at least 13 years of age to create an account. By registering, you represent that you meet this requirement.
You agree not to use CollabCoder to:
You retain ownership of all documents, tags, notes, and other content you upload or create in CollabCoder ("Your Content"). By using the Service, you grant us a limited license to store, process, and display Your Content solely for the purpose of providing the Service to you.
You are solely responsible for Your Content and represent that you have all necessary rights to upload it. We do not review or moderate user content.
CollabCoder offers free and paid subscription plans. Paid plans are billed on a monthly or annual basis. By subscribing, you authorize us (or our payment processor, Stripe) to charge your payment method on a recurring basis.
Paid subscriptions automatically renew at the end of each billing period unless cancelled at least 24 hours before the renewal date. You may cancel your subscription at any time. Cancellation takes effect at the end of the current billing period. We do not offer refunds for partial billing periods.
For subscriptions purchased through the Apple App Store, billing is managed by Apple and subject to Apple's terms. You can manage or cancel renewal at any time in iOS Settings → Apple ID → Subscriptions. We do not have access to your payment details for App Store purchases.
We reserve the right to change pricing with 30 days' notice. Continued use of the Service after a price change constitutes acceptance of the new pricing.
The Academic plan is available to users with a verified .edu email address. We reserve the right to verify eligibility and to revoke Academic plan access if eligibility requirements are not met.
CollabCoder includes optional AI-powered tag suggestions powered by Anthropic's Claude API. By using AI features, you acknowledge that selected text passages may be sent to Anthropic for processing. AI suggestions are optional and are never triggered automatically. See our Privacy Policy for more detail.
We strive to maintain high availability but do not guarantee uninterrupted access to the Service. We may modify, suspend, or discontinue the Service at any time with reasonable notice. We are not liable for any loss resulting from downtime or service changes.
You may delete your account at any time from within the application. Upon deletion, your account credentials are permanently removed. Project data may be retained for a short period before permanent deletion. If you need complete data removal, contact us at support@collabcoder.ai.
The CollabCoder name, logo, design, and underlying software are our intellectual property. You may not use them without written permission. Nothing in these terms grants you ownership of any CollabCoder intellectual property.
The Service is provided "as is" and "as available" without warranties of any kind, express or implied. We do not warrant that the Service will be error-free, secure, or available at any particular time.
To the fullest extent permitted by law, we shall not be liable for any indirect, incidental, special, or consequential damages arising from your use of the Service, including but not limited to loss of data, loss of revenue, or loss of research content. Our total liability shall not exceed the amount you paid us in the 12 months preceding the claim.
We may update these terms from time to time. Material changes will be communicated by email or via a notice in the application. Continued use of the Service after changes take effect constitutes acceptance of the revised terms.
These terms are governed by the laws of the United States. Any disputes shall be resolved in the courts of competent jurisdiction.
