How we collect, use, and protect your information when you use CollabCoder.
CollabCoder ("we," "us," or "our") is a collaborative qualitative coding platform. We are committed to protecting your privacy and the confidentiality of your research data. This policy explains what information we collect, how we use it, and your rights regarding that information.
Account information. When you register, we collect your name, email address, and a password. If you sign up through an educational institution, we may also note your .edu email domain to determine plan eligibility.
Research data. You upload documents and create tags, highlights, and notes within your projects. This content is stored in our database and is accessible only to authenticated members of the relevant project.
Usage data. We collect basic usage information such as login timestamps and feature usage to improve the service. We do not use third-party analytics or tracking tools.
Payment information. If you subscribe to a paid plan, payment is processed by Stripe. We do not store your credit card number or full payment details. Stripe's privacy policy governs payment data handling.

We do not sell, rent, or share your personal information or research data with third parties for marketing purposes.
CollabCoder offers optional AI-powered tag suggestions. When you use this feature, the selected text passage and your project's tag list are sent to Anthropic's Claude API for processing.
Anthropic does not use API inputs to train its models, and data is not retained after processing. AI suggestions are entirely optional and must be explicitly triggered by the user. No data is sent to any AI provider unless you actively request a suggestion.

CollabCoder uses only essential cookies and local storage required for authentication and session management. We do not use advertising cookies, third-party tracking cookies, or analytics cookies.
CollabCoder is not directed at children under 13. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided us with personal information, please contact us and we will delete it promptly.
We may update this privacy policy from time to time. If we make material changes, we will notify you by email or by posting a notice within the application. Your continued use of CollabCoder after changes take effect constitutes acceptance of the updated policy.
